Position summary
Join Premier Padel as a Travel & Logistics Coordinator and working closely with the Travel & Logistics Manager, you’ll coordinate all operational travel for Premier Padel, manage accreditation for staff, stakeholders, and guests, and provide vital support to ensure our tournaments run seamlessly. This role is central to the smooth delivery and ongoing development of our events. Availability for out-of-hours work (Monday–Sunday) will be required, shared on a rotational basis with the Travel & Logistics Manager.
Responsibilities
• Travel Coordination & Logistics: Manage complex global travel arrangements, including flights, trains, hotels, and ground transfers. Anticipate travel needs for upcoming tournaments, optimise itineraries, and ensure an excellent experience by understanding the operational requirements of each team.
• On-the-Ground Operations: Support the tour operations team in delivering tournament logistics, coordinating with promoters, managing accreditations, and assisting with any event-related operational requirements.
• Budget Management: Ensure all travel bookings are cost-effective and compliant with company policies and procedures. Track travel expenditure against the annual budget, highlight variances, and identify opportunities for cost savings.
• Supplier Management: Maintain strong relationships with suppliers and travel agencies. Identify and develop preferred supplier partnerships, ensuring competitive rates and high-quality service.
• Strategic Planning & Optimisation: Take a proactive approach to travel planning by leveraging the events calendar to pre-book travel and accommodation. Anticipate upcoming needs, coordinate early with colleagues, and consistently seek opportunities to streamline processes and reduce costs.
• Administrative Support: Provide general administrative support to the wider team as needed, ensuring smooth day-to-day operations and assisting with tasks such as documentation, scheduling, reporting, and coordination.
• Any other duties reasonably required and appropriate to the role.
Requirements
• Experience in travel coordination or administrative support, ideally within an international, events, or sports environment.
• Strong organisational and time-management skills, with the ability to manage multiple bookings and tasks simultaneously.
• High attention to detail, ensuring accuracy in itineraries, documents, and communication.
• Good communication skills, both written and verbal, with confidence when liaising with colleagues, suppliers, and partners.
• Basic budget awareness, with the ability to track costs and support cost-effective decision-making.
• Proactive and solution-focused, able to anticipate needs, plan ahead, and adapt quickly to changing requirements.
• Ability to build positive working relationships with travel agencies, suppliers, and internal teams.
• Comfortable working under pressure, including managing last-minute changes or operational challenges.
• Strong administrative skills, including scheduling, document handling, reporting, and general team support.
• Competent IT user, with experience using Microsoft Office or Google Workspace; willingness to learn internal systems.
• Team player, flexible and willing to support colleagues across different areas when needed.
• Flexibility to work evenings and weekends during busy periods or tournament time, as required.
• Willingness to travel occasionally to support on-site operations.
